Mac to Win

The easiest way to move your data is to upload to an exchange server. However, if that option is not available use one of the methods listed below.

Copy messages or contacts from Entourage to a Windows-based computer:

  1. To copy messages, drag the folder that contains the messages from the Folders list to your desktop. Entourage saves the contents of the folder as an MBOX-format text file. Tip: use one of the scripts to export folders. Note: there is a limit (200) on items you can drag to the desktop. Using the script makes moving large numbers of files easier.
  2. To copy contacts, follow these steps.
  3. Third Party Options:
    1. Export Address Book ..Exports as tab-separated text, CSV, HTML table and vCard. Note you’ll need to sync Entourage to the Apple Address Book first.
    2. EmailChemy..Cross-platform solution; versions for Windows, Mac, and Linux Excellent!
    3. Use Paul Berkowitz's Scripts Export-Import Entourage. (shareware) Excellent!
The Outlook and Other Converters transfer contacts, calendar, tasks and notes -- there are instructions for transferring messages without scripts in the ReadMe. They do work under Leopard. It's only the Unlock All script that does not work. You have to enter the code into each script you use.
    4. vCard to LDIF/CSV Converter You can also download the script and run it locally. All you need is a shell with PHP installed. Note you’ll need to sync Entourage to the Apple Address Book first.

Notes

• When you copy a file from a Macintosh computer to a Windows-based computer, you should append to the file name a period (.) followed by the appropriate file name extension. The correct extension for an MBOX-format file is .mbox. The correct extension for a tab-delimited text file is .txt. You should also change any file name character that can't be read on a Windows-based computer to an underscore character (_). Windows-based file names cannot include the following characters: backslash (), slash mark (/), asterisk (*), angle brackets (< >), and vertical bar ( ).

• If your Windows-based program cannot import messages as an MBOX-format text file, you can copy individual messages instead. To copy an individual message, save it as a SimpleText text document or an Entourage e-mail message and copy the file to the Windows-based computer. Then import the message as a text (.txt) file or an e-mail message (.eml) file, depending on the format in which you saved the message.

From Entourage 2004 Help..a great source of information

Julian Vrieslander on the Entourage talk list provided the following steps. The following was only tested moving only address book data (contacts) from Entourage 11.3.3 in OS X 10.4.9 to Outlook 2007 in Vista.

  1. In Entourage, select File > Export. The Export screen prompts 'What would you like to export?' Select 'Local contacts to a list (tab-delimted text).' Save the file.
  2. In Excel, select File > Open. The file opening window presents an Enable menu to filter file types. Choose 'Text Files', and open the exported text file.
  3. The Text Import Wizard appears.
    1. For step 1, choose 'Delimited' for file type. Click 'Next'.
    2. For step 2, click the 'Tab' checkbox for Delimiters. Click 'Next'.
    3. For step 3, you can remove columns from the table. I did not bother to do this. Empty columns are skipped. Click 'Finish'.
  4. Save the Excel file in 'CSV (Windows)' format. Excel will complain about incompatible features, asking you if you want to save without those features. Click 'Yes'.
  5. Now you need to get the csv file into Outlook. In Outlook select File > Import and Export. The Import/Export Wizard appears. From the list of actions, select 'Import from another program or file'. Click 'Next'.
  6. From the list of file types to import from, select 'Comma Separated Values (Windows)'. Click 'Next'.
  7. Locate the file to import. For destination folder, choose Personal FoldersContacts
  8. When the 'Import a File' screen appears, click the button 'Map custom fields.' This is the trickiest part of the procedure. You need to compare the field names in the Entourage and Outlook address books. Some are the same, and these are already mapped for you. Others are different, and you need to manually set the mappings. Follow the instructions on the screen. Recheck both sides, and when you are satisifed that you have the correct mappings, click 'OK'.
  9. Click 'Finish'.

When you check the results, you may find some data fields that are empty, mapped incorrectly, or formatted differently than they were in Entourage. For those contacts that have multiple email addresses and/or phone numbers, you may need to reset the default choices. If you had photos attached to your Entourage contacts, you will need to reattach those manually.

Photos are correctly included if you import contacts on vCards. Importing vCards is a different procedure, and if you are just moving one contact, or a small group, it's probably an easier route than exporting and importing via text file.

Location of Microsoft Files

Do you know where your personal preference files are located? Before Installing or erasing, it's a good practice to backup your personal preferences.

  1. Entourage Database Identity [Your Mail]

Location of Entourage Database

It's important to know the location of your database because your rules, mailing lists, signatures, messages, data, schedules, contacts, tasks, notes, calendar are located in your database.

Entourage 2004: ~/Documents/Microsoft User Data/Office 2004 Identities/your identity

Entourage X: ~/Documents/Microsoft User Data/Office X Identities/your identity
Entourage 2001: <Startup Disk>:Documents/Microsoft User Data: Office 2001 Identities:your identity Note: your identity is called Main Identity unless you rename it.

Preference Files for Entourage

Entourage X, 2004 and 2008:

~/Library/Preferences/com.microsoft.OfficeNotifications.plist

~/Library/Preferences/com.microsoft.DatabaseDaemon.plist

~/Library/Preferences/com.microsoft.Entourage.plist

~/Library/Preferences/Microsoft/Entourage Preferences

There are many com.microsoft files. Select your preferences folder in the Finder and search using 'microsoft' to show all the .plist files. As you add preferences to items in Entourage, this list can grow.

Entourage 2001:

System Folder/Preferences/Microsoft/Entourage Preferences

/Documents/Microsoft User Data/Office 2001 Identities/[Each Identity]/

Custom Dictionary

Mac Help Desk

Entourage X, 2004:

~/Library/Preferences/Microsoft/Custom Dictionary

Entourage 2008

'~/Library/Preferences/Microsoft/Office 2008/Custom Dictionary'

Entourage 2001:

Outlook for Mac

Outlook uses OS X's Spelling in your User's Library/Spelling

SyncServices

~/Library/Application Support/SyncServices/

Spotlight cache files

Entourage places files for indexing by Spotlight here:

/Library/Caches/Metadata/Microsoft/Entourage/

Note: You can exclude your database from Spotlight searches as it is unnecessary and can slow down your computer.

Office Settings

AutoCorrect entries (Stored in two locations) The formatted entries are in the Normal template, the office-wide plain-text entries are in the MS Office ACL file.

  1. MS Office ACL file for the language you are using. E.g. MS Office ACL [English].
  2. Normal file (If you specify when creating an AutoCorrect that it should be inserted as 'Formatted' then goes in the Normal template (as an AutoText).)

Office 2011: Microsoft Office ACL [English] located in ~/Library/Application Support/Microsoft/Preferences/Office 2011/

Office 2004 & 2008: Microsoft Office ACL [English] located in ~/Library/Preferences/Microsoft/

Office X: “MS Office ACL [English]” located in ~/Library/Preferences/Microsoft/

Office 2001: 'MS Office ACL [English]' located in System Folder>Preferences>Microsoft

Normal

The Normal Template contains toolbar customizations for Word as well as the default settings for every new Word document not based on another template.

Office X: The Normal file is located in the 'Templates' folder in your 'Microsoft Office' folder. Tip: Put your templates in your Microsoft User Data folder, where they won't be touched if you use 'Remove Office', and set the Project Gallery to find them there. Otherwise, “Remove Office” will delete those files.

Office Word 2004 moves the Normal Template to live in the Microsoft User Data folder by default. It does not move the Templates folder. Put your Templates foder in your Microsoft User Data folder, where they won't be touched if you use 'Remove Office', and set the Project Gallery to find them there.

Office 2008 & 2011 moved Normal.dotm to ~/Library/Application Support/Microsoft/User Templates
